Per staff vs per location booking prices: which model fits?

Understand how pricing units change the cost of hiring, adding branches and running a service business.

The useful bits, first.

  • Write the pricing unit beside the amount.
  • Model hiring and branch changes.
  • Ask what happens at allowance boundaries.

The unit is part of the price

A booking subscription cannot be understood from its number alone. A charge per staff member behaves differently from a charge per location, while an allowance-based plan can remain unchanged until a stated limit is reached. Begin by writing the unit next to every displayed price. This small habit prevents a common mistake: comparing the cost for one person with the cost for an entire shop.

Model three ordinary business changes

Test a new hire, a second branch and a seasonal reduction in staff. Under staff-based pricing, hiring may change the subscription even if the premises stay the same. Under location-based pricing, another branch may matter more than additional people at the original site. Under an allowance, either change might fit inside the current tier. These are pricing patterns rather than universal vendor rules; confirm the actual contract.

Use illustrative arithmetic carefully

Imagine Product A costs $12 per staff member monthly and Product B costs $45 per location monthly. These are invented examples. At four staff in one location, the subscription examples are $48 and $45. At eight staff across two locations, they become $96 and $90. Neither calculation says which product is better, because the features, billing commitments and usage charges have deliberately been left unspecified.

For 5 staff and 1 location: Resurv Essential reference $4.99/mo; Fresha Team $74.75/mo; Calendly Standard $50/mo equivalent billed annually; Square Plus $49/mo.

Assumes 300 monthly bookings. Essential allows 500 and Growth allows 5,000 bookings/month; Growth allows five staff per branch. Formula: subscription × billed staff or locations. Calendly Standard requires an annual commitment ($120 per seat/year); the others here use monthly reference amounts. Resurv capacity limits are enforced. This is not a savings guarantee: free tiers, plan differences, taxes, add-ons, processing, marketplace commissions and messaging are excluded. Fresha enterprise quotes may differ for teams over 20.

Watch the boundary of an allowance

Resurv advertises Essential for up to five staff and one location and Growth for up to 25 staff and five locations. Those limits are relevant when estimating headroom, but they require a current quote and feature review. Ask what happens when you exceed either limit, whether everyone counts toward staff capacity and how changes during a billing period are handled. Do not assume an upgrade can always wait until renewal.

Choose a model you can forecast

Build a twelve-month headcount and location forecast using realistic hiring plans. Put the resulting subscription beside payment, messaging and migration costs. A predictable unit can make budgeting easier, but flexibility and operational fit still matter. Keep the forecast as a living document and review it before hiring or signing a lease. The best pricing structure is one whose behavior your team understands before the business changes, including during quiet months and temporary expansions.

Keep the forecast beside hiring plans. A new professional can affect software cost, onboarding effort and appointment capacity differently, so review all three before treating the hire as a simple subscription increase.

Common questions

Is per-location pricing always better for a large team?

No. It depends on location count, selected tier, included functions and other charges. Compare complete quotes for the same operating scenario and billing period.
